Voting Instructions

This page provides step-by-step instructions for voting.

Please read carefully before submitting your ballot.

1. Eligibility & Roles

Chapter Representatives

  • Before submitting the Chapter ballot, the Chapter Representative must first hold a formal board meeting and secure the board’s decision on each election item. The vote you submit must record that agreed-upon position and not an individual preference.
  • Each Member Chapter is entitled to cast ballots for positions reserved for Chapters (e.g. Vice President, Chapter Director).
  • Ensure your chapter is listed among the Eligible Chapters (see the “Eligible Chapters” page).

Individual Professional Members (IPMs)

  • All active IPMs in good standing may vote for positions reserved for individual members (e.g. At-Large Directors).
  • If you hold both Chapter affiliation and Individual membership, you may cast in both categories (subject to eligibility for each).

2. Voting Process & Timeline

  • Ballots open on October 17, 2025, 00:00 UTC and close on November 17, 2025, 23:59 UTC. Once the ballot is submitted, changes may not be made, so review carefully before finalizing.
  • Voting is electronic via the DAMA election software platform.
  • Each ballot will display only the positions for which you are eligible to vote (based on your role).
  • Results will be announced on the Elections Results page.

3. How to Complete Your Ballot

  1. You will see a list of open positions available for your role (Chapter or IPM).
  2. For each position:
    • Review all candidate profiles (accessible from the ballot).
    • Select one candidate per position (unless otherwise noted).
    • You may also leave a position blank (i.e. “Abstain”) if you prefer not to vote.
  3. Verify your selections, then submit the ballot.
  4. You will receive a confirmation email (if your account is set to receive notifications).

4. Best Practices & Fairness Guidelines

  • Review all candidate information fairly — use only the information included in the nomination packages or publicly accessible profiles (e.g. LinkedIn, if all committee members use it).
  • Avoid bias: do not favor candidates you may personally know over others unless your evaluation is consistent and justified across all candidates.
  • Do not coordinate or share your selections — voting is confidential and should be independent.
  • Conflicts of interest: If you are affiliated with a candidate (e.g. former colleague, close associate), consider whether you should recuse yourself from that vote.
  • No late changes: once the ballot closes, no modifications or appeals will be accepted (unless extraordinary circumstances as defined in the bylaws).

5. Trouble-shooting & Support

  • If the ballot does not display any positions, check whether your membership or chapter affiliation is eligible. If you believe you should see a ballot, contact elections@dama.org.
  • If your confirmation email is not received, check your spam/junk folder or verify your account email settings.
  • For technical issues (login, portal navigation, submission errors), reach out to membersupport@dama.org with your member ID and a description of the issue.
  • All voting is monitored to ensure integrity, but if you suspect irregularities, please report them immediately to the Governance & Nominations Committee (via elections@dama.org).
